For accounting and bookkeeping firms

Accounting practice management software for accounting and bookkeeping firms

Every accounting practice runs the same three arguments with itself. What is still open, who has it, and was it ever billed. The work changes from country to country; those three questions do not.

MyTask is the system that answers them. It is not accounting software and it holds no ledger — it sits above whatever you keep the books in, and records the work your firm owes its clients: the jobs, the stages each one passes through, the hours that went in, the documents that came and went, and the invoice at the end.

Nothing in it is hard-coded to one country. The financial year, the taxes, the currency and the service list are all set by the firm, which is why the same product runs a practice in Mumbai, a bookkeeping firm in Dubai and an accountancy practice in Leeds without a separate edition for each.

What an accounting firm uses it for

None of this ships pre-configured. You build the service list, the stages inside each service and the documents each one asks the client for — which is why a firm doing VAT returns configures it as readily as one doing GST or sales tax.

  1. Your own list of services, four levels deep

Bookkeeping, VAT or sales tax work, year-end accounts, payroll, audit, advisory — named by you, with sub-services, the stages each one passes through and a checklist inside each stage. Nothing assumes which work your firm sells.

  2. Recurring work that raises itself

Monthly bookkeeping, quarterly returns and annual accounts are set once and appear when they are due. Recurring work can create itself on a set frequency; or MyTask keeps a batch for each service and proposes the clients you did that work for last period, and a batch creates nothing until somebody approves the list.

  3. Time tracking and what a job actually cost

Billable and non-billable hours posted against every job, costed from each person's own recovery rate — so at billing you see the cost beside the fee, and a fixed-fee job that lost money is visible before the year ends rather than after it.

  4. Billing, collection and the dues nobody chased

Invoices, receipts, credit and debit notes, an ageing view of what is outstanding, and automatic payment reminders on the frequency you set. Work that was completed and never billed has its own report.

  5. A client portal instead of another email

Clients see where their work has reached, upload what you asked for, view their invoices and book appointments — without a call to your office. Documents that come in and go back out are recorded either way, with a receipt.

  6. More than one office, without a second system

Each office carries its own financial year, currency and staff, and the firm-wide view consolidates where they agree. One client list, one login, however many offices.

Modules used for this work

What MyTask is not

It is not accounting or bookkeeping software: there is no ledger in it, no bank feeds and no trial balance, and it does not connect to Xero, QuickBooks or any other books. It does not file or lodge anything with a tax authority, and it does not write proposals, engagement letters or e-signatures. It is the practice management layer above all of that — the record of what the firm owes its clients, who is doing it, what it cost and whether it was billed. If what you need is the ledger itself, MyTask is not that product.

Questions firms outside India ask

Does it work on our financial year and currency?
Yes. The financial year is set per office — 1 January, 1 April, 1 July or any other start — and each office holds its own currency. Reports read in the year and currency of the office you are looking at.
Is it built only for Indian tax work?
No. Nothing in the product assumes a tax regime: you name the services and the taxes yourself. Three modules are India-specific and optional add-ons — the GST and income tax portal checkers and the Messaging Portal — and a firm outside India simply does not turn them on.
Do you integrate with our accounting software?
No. MyTask does not read or write your ledger, and there is no Xero or QuickBooks connection. It runs alongside whatever you keep the books in, and the two are used for different jobs.
Where is our data kept, and how is it protected?
On Amazon's infrastructure, over an SSL connection, with automated backups. Access inside the firm is by role and by branch, so a manager sees their office and a partner sees the firm.
How is it supported from a different time zone?
Support is by call, email or ticket, from the Jaipur office, Monday to Saturday, 11am to 7pm India time. For a firm in the UAE that covers most of the working day; for the UK it is the morning; for Australia the afternoon.
How does a firm start — is there a sign-up page?
MyTask starts with a walkthrough rather than self sign-up: around thirty minutes, online, on your own practice, with somebody who knows the work. No payment details are asked for. Setting up afterwards includes data migration and three training sessions, and pricing is per user, per month.
