For company secretaries in practice

Practice management software for company secretaries in practice

A company secretary's practice has the same problem as any other: a long client list, the same filings coming round every year, and a partner who needs to know what is still open without calling every assistant to ask.

MyTask is built for CA, CS and tax practices, and the part that matters to a CS firm is that it never assumed which work you do. You build the service list yourself, so ROC work gets its own category, with the filings you actually handle as task types under it and the stages each job passes through.

How MyTask manages a CS practice's work

None of this ships pre-configured. The category, the task types and the stages inside them are yours to define, which is why one system fits a practice that is mostly annual filings and one that is mostly incorporations.

  1. Annual filings for every company client

Set each annual filing up as a task type, for example AOC-4 and MGT-7, with the stages your team works through, then raise the year's jobs for the whole client list at once instead of one client at a time. A client list can be imported straight from Excel.

  2. DIR-3 KYC, every year, without rebuilding the list

Recurring work can create itself on a set frequency. Alongside that, MyTask keeps a batch for each service you sell and fills it from the clients you have done that work for before, so last year's DIR-3 KYC clients are proposed for this year. A batch raises nothing until you approve the list, so a wrong guess cannot quietly create hundreds of jobs.

  3. Deadline reminders that reach exactly the right clients

Email everyone who has a particular task type — every DIR-3 KYC client, every annual-filing client. The list comes from the jobs themselves, not from somebody remembering who belongs on it.

  4. Directors' digital signatures

A register of every DSC the practice holds: whose it is, when it was given and returned, which client it is assigned to, where it is physically kept, and when it expires, with alerts before it does.

  5. Original documents, in and out

Record what arrives from a client and what goes back, linked to the task it belongs to. Mark what is returnable and what is original, issue a receipt when it comes in, and see what is still with you.

  6. ROC work in its own line of the accounts

Revenue segments are yours to define, so ROC work can be billed and reported on its own rather than lost inside a single fee total.

What MyTask does not do for a CS practice

It does not connect to the MCA portal. It tracks the ROC work your team files; it does not file it, and it does not read filing status back from MCA. It is practice management software, not secretarial compliance software: there are no statutory registers, minute books or board-meeting records in it. If those are what you need, MyTask is not that product.

Questions company secretaries ask

Does MyTask file forms on the MCA portal?
No. Filing stays with your team on the MCA portal. MyTask records the job, its stages, who is working on it and when it was completed.
Can ROC work be kept apart from our other services?
Yes. Categories, task types and revenue segments are all defined by the practice, so ROC work can have its own category, its own stages and its own line in the revenue reports.
Is MyTask only for chartered accountants?
No. It is built for CA, CS and tax practices, and nothing in it assumes which services a firm offers.
Can our clients see the status of their filings?
With the Client Login Portal add-on, yes: a client sees which stage their work has reached, sends documents against it and views their invoices.
