Reports from this screen13 reports

  1. Expenses Approved

What the firm has agreed to pay, for the year and branch selected.

  2. Expenses Rejected

    Claims refused outright.

  3. Expenses Waiting For Approval

Claims sitting with somebody for a decision — money the firm owes its own people and has not yet acknowledged.

  4. Expenses Partially Rejected

A claim allowed in part: eight hundred of a twelve-hundred rupee bill. Most expense systems can only approve or refuse, so the middle case is handled by asking the person to resubmit a smaller claim. Here it is a state of its own, with its own total.

  5. Expenses On Clients Versus On The Office

The split that decides recoverability. Money spent on a client's work may be billable to them; money spent on the office never is.

  6. Expenses By Nature

Food, stay, travel and conveyance, each across all four approval states — so a firm can see what its expense bill is actually made of rather than only what it totals.

  7. What Each Person Has Claimed

Per member of staff: how many claims approved, refused, waiting and part-allowed, with the amounts.

  8. Net Amount Payable to Each Staff Member

Every applicant's net position with the direction of it named — who is owed, and by whom. Expenses and disbursements settle against each other rather than being two separate conversations at month end.

  9. Disbursements Made By Each Person

Money paid out on a client's behalf, per person, in the same four states. Kept apart from expenses because a disbursement is recoverable from the client and an expense is the firm's own cost.

  10. Expenses Pending With Each Approver

Claims by APPROVER, not by claimant: how many each person has cleared, refused and still has waiting. A claim stuck for three weeks has a name attached to it, and it is not the claimant's. Almost no expense system reports this way round.

  11. Expenses By Client

Every client with expenses against them, by file number and group, in all four states — which is what turns a recoverable cost into an actual recovery at billing time.

  12. Billed Expenses

Expenses already passed on to a client on an invoice.

  13. Non-Billable Expenses

Everything the firm is absorbing — the real cost of running the practice, separated from what it recharges.

Actions you can take from this screen2 actions

  1. Three views: all, billed, or non-billable expenses

All details, billed expenses only, or non-billable only — because “what did we spend” and “what can we recover” are different questions.

  2. Any branch, any financial year

Read one office at a time or the firm as a whole.
