Reports from this screen27 reports

  1. Opening Balance

What clients owed the firm at the start of the year, before anything that happened in it.

  2. Total Billing For The Year

Everything invoiced across every billing entity, debit notes included.

  3. Total Collection For The Year

What actually came in against it.

  4. Discount Allowed

Kept apart from credit notes, because a discount given at the point of billing and a credit note issued afterwards are different decisions by different people.

  5. Credit Notes Issued

What was written back after the bill went out.

  6. Outstanding Before Advance Receipts

The gross position: everything billed and not yet collected, before money held on account is taken into it.

  7. Opening Fees Where The Bill Exists

Prior-year dues still represented by an invoice in the system.

  8. Opening Fees Where No Bill Exists

Dues carried in from before MyTask, with no invoice behind them. Every practice migrating from a ledger has these, and most software has nowhere to put them — so they are carried as their own line rather than forced into a fake invoice.

  9. Collection Against Those Billless Dues

Money recovered against the carried-forward balances, tracked separately so the migration figure winds down visibly.

  10. Billing And Debit Notes During The Year

This year's invoicing, as the ADD line of the reconciliation.

  11. Direct Bills

Invoices raised outside the task flow — one-off work that never became a job.

  12. Collection Against This Year's Bills

How much of what you billed this year has actually been paid this year.

  13. Collection Against Earlier Years' Bills

Recovery on the old book, which is a different achievement from collecting current work and is measured as one.

  14. Direct Receipts

Money received without an invoice behind it.

  15. TDS Deducted By Clients

Tax the client withheld when paying professional fees. It is collection the firm never sees in its bank, and a practice that does not track it under-recovers on every bill — which is why it sits in the reconciliation rather than in a note.

  16. Net Outstanding Before Advance Receipts

Opening, plus billing, less collection, discount and credit notes — the arithmetic stated line by line rather than asserted.

  17. Opening Advance Receipts

Money held on account at the start of the year.

  18. Advance Receipts Taken This Year

Money taken before the work was billed.

  19. Advance Receipts Settled

Advances since applied against an invoice, so the balance on account is what remains genuinely unapplied.

  20. Net Outstanding After Advance Receipts

The true debtor position. Most practices quote the figure before advances and overstate what they are owed by whatever clients have already paid them.

  21. Ageing Of Outstanding

Debt by how old it is: not yet due, 0-30 days, 31-60, 61-90, 90-180, and beyond 180 days. Almost ten crore sitting in the 90-180 bucket is a different conversation from the same figure at thirty days.

  22. Top 20 Outstanding Clients

The twenty groups owing the most, in order. In the demo firm one group carries two thirds of the entire book — the sort of concentration a partner needs to see named rather than averaged away.

  23. Billing By Firm

A practice billing through several entities gets each one's billing, debit notes and credit notes separately. Indian firms routinely invoice through more than one name, and a single total hides which one is actually trading.

  24. Collection By Firm, Cash And Bank

Each billing entity's receipts split into cash and bank — which matters for reconciliation, and for knowing how much of the practice still runs on cash.

  25. Segment-Wise Revenue This Year

Revenue grouped by narration: bills and debit notes excluding tax, the tax on them, receipts, receipt tax, discounts and credit notes, and the outstanding. The closest thing the firm has to a revenue analysis by service line.

  26. Segment-Wise Revenue On Older Bills

The same analysis for bills raised in earlier years but collected this one — loaded on demand, because a firm rarely needs it and it is expensive to compute.

  27. Advance Receipts By Client Group

Every group holding money on account: opening, received, settled and net. Money a client has already paid that the firm has not yet earned is a liability, and this is the only screen that lists it client by client.

Actions you can take from this screen2 actions

  1. Any financial year back to 2004-05

Twenty-three years, because outstanding balances do not respect a retention window.

  2. Click any line to see its details

Each line expands into what makes it up, so a figure that looks wrong is investigated rather than queried.
